Cancel Google Workspace without losing your data

Quick answer, updated

Google’s documentation says to export before you cancel: once a subscription is canceled or suspended, Gmail, Drive and Chat data is excluded from the admin Data Export tool, and Google warns the data is deleted and can’t be restored. An export is ready no earlier than 48 hours after you start it, typically takes 72 hours and can take up to 14 days, and Google deletes its copy 60 days after the export starts. Start at least four weeks before your cancel date: the export alone can take 14 days, and you need time to fix errors and download the archive to storage you control. Then cancel.

By David Persson, editor of Data Licensing Index.

The short answer

Export first, keep paying until the archive sits on storage you control, and only then cancel. Google’s Cancel Google Workspace page warns that after you cancel, “your users’ Google Workspace data will be deleted and can’t be restored.” The admin Data Export tool needs “an active Google Workspace subscription” to export core services such as Gmail, Drive and Chat, and that data “is excluded from the export if your Google Workspace subscription is canceled or suspended.”

Timing is the part people underestimate. Google says an export is available no earlier than 48 hours after you start it, typically takes 72 hours, and can take up to 14 days. If you are on a monthly plan and want to cancel at the end of the month, start the export at least four weeks before that date. The export can take 14 days by itself, and you still need time to remediate errors and download the archive.

Every requirement on this page comes from Google’s own help centers, checked on October 18, 2026. Google’s Workspace admin help now lives at knowledge.workspace.google.com, and older support.google.com/a links redirect there. If Google changes a rule, the linked page wins. Our methodology explains how we check sources.

Data Export tool, Takeout or Vault: which one to use

Google offers three ways to get data out of Workspace. Only one of them is built to export a whole organization in one run.

The Data Export tool is the one for a company that is closing or leaving Google. On the cancellation page, Google says “the easiest way to download and export your users’ data is to use the Data Export tool.” It exports the same data users get from Takeout, plus data that only admins can reach: files in shared drives, chat messages in rooms created by your users, data of ownerless groups, messages in admin quarantine, and deleted data that Vault retained or held.

Takeout is a personal tool. It is useful when a founder or an employee wants a copy of their own account. It is not an organization export: a 40-person company would need 40 people to run it, and suspended users can’t use Takeout at all.

Vault is for legal holds and eDiscovery, not backups. Google’s own overview says “Vault isn’t a data archive” and that Vault doesn’t retain anything until you set up retention rules. Since November 1, 2025, admins need a Vault license to use it. It is included in Business Plus, Enterprise Standard and Enterprise Plus, among other editions. Use Vault when a lawyer needs specific mailboxes in PST format. Use the Data Export tool for the full archive.

Prerequisites to check before you start

Google lists these requirements for the Data Export tool. Check all of them on day one, because two cannot be fixed quickly: the 30-day age of the super admin account, and the support contact Google requires for more than 1,000 users.

  1. An active subscription. Gmail, Drive and Chat data is excluded if the subscription is canceled or suspended. A card that stops working counts too: Google suspends service if a monthly payment isn’t fixed within 30 days. So does an Annual Plan contract you do not renew, storage over your limit, or a domain bought through Google that expires: each can suspend the subscription.
  2. A super admin account at least 30 days old, unless the whole organizational account is younger than 30 days. If the only person left to do the work has a brand-new account, use an older super admin account instead.
  3. 2-Step Verification turned on for the admin who starts the export. Only that admin needs it.
  4. Google Cloud turned on for the admin accounts that will open the archive. The export lands in Google Cloud Storage, and Google says you must have Google Cloud turned on to access exported data.
  5. Contact Google support first if you are large. Organizations with FedRAMP Authorization or more than 1,000 users must contact Google Workspace support before using the tool.

Also note the edition limits. On most editions you can run either one full export plus one single-user export, or two single-user exports, at the same time, and you must wait 30 days between full exports. Enterprise Plus, Enterprise Essentials Plus, Education Standard, Education Plus and Assured Controls have no minimum interval. That interval is one more reason to start early: on a Business edition there may be no quick second attempt at a full export.

Step by step: export, verify, then cancel

Phase 1: Protect the data you already have

  1. Keep the subscription paid. Do not cancel, downgrade or let the card lapse until Phase 3 is done. Google says subscriptions suspended for more than 60 days might be cancelled, and you might lose associated user data.
  2. Do not delete departed employees yet. A full export includes licensed, suspended, archived and Vault Former Employee accounts, but not deleted data unless Vault retained or held it. To transfer a deleted user’s data, Google says you must restore that user within 20 days of deletion, and it warns that deleting a user or a required license can mean their data is irreversibly purged and no longer available to Vault. Suspend instead of delete.
  3. Do not create new accounts right before the export. The tool skips data for user accounts created within 24 hours before the export starts.

Phase 2: Run the export

  1. Confirm the prerequisites above, including 2-Step Verification and Google Cloud access for the admin.
  2. Start the export. In the Google Admin console, go to Menu > Data > Data import & export > Data export, click Set up new export, name it, and choose the scope: all user data for the entire organization, or specific users. Pick the entire organization. Google says exports for specific users skip data that no single user owns, such as shared drives, Chat spaces, group direct messages, Sites and secondary calendars, and on most editions a filtered export covers only one user. If you are asked for a bucket location, choose United States, Europe or No preference; EU companies usually pick Europe. Then click Start export. These are Google’s steps, and Google says they work in all editions.
  3. Leave it running. Once you click Start export, it cannot be canceled or stopped in the Admin console. Do not remove super admin rights from the person who started it: if that account loses them, “the export may be canceled” and no data is exported. All super admins get an email when the export starts and when it completes.
  4. Read the status. Google uses three: Failed means no data was exported, Errors means some data is missing from the archive, Complete means everything was exported. If you see Errors, run a remediation from Actions > Remediate. You can do that for 20 days after the export completes, with a limit of three attempts, and remediation does not reset the 60-day deletion clock.

Phase 3: Download and check the archive

  1. Download everything to storage you control. The Cloud Storage page only downloads one object at a time. For whole folders, Google points to the gcloud storage command line tool, for example gcloud storage cp --continue-on-error --recursive followed by your bucket’s URI. Keep two copies in two places.
  2. Work out your real deadline. Google deletes the exported data 60 days from the beginning of the export, and some packets can be deleted before others. Google’s rule: subtract the number of days the export took from 60. An export that took 10 days leaves you 50 days after it completes.
  3. Spot-check the contents. The archive has one folder per user, with zip files split by service and size, such as Drive (Part 1) and Gmail (Part 1). Shared drive files belong to a service account named “Resource.” Open a few users and the Resource folder before you go further.
  4. Export third-party app data separately. Data in apps your team signs in to with Google isn’t deleted automatically when you cancel. Google says that if you will stop using those apps, export the user data you need from them and then delete it there; if you will keep using them, make sure people can still sign in after Workspace is canceled.
  5. Save billing records. After you delete the organization’s Google Account, you can’t access your billing records. Download invoices and receipts now.

Phase 4: Cancel

  1. Cancel the subscription. In the Admin console, go to Menu > Billing > Subscriptions, click your subscription, then More > Cancel Subscription. Select a reason, click Continue, confirm, enter your email address and click Cancel My Subscription. You need the Billing management privilege. If you bought through a reseller, signed up with a Gmail address, or pay through Google Play or Apple, Google sends you to a different cancellation path.
  2. Decide whether to delete the organization’s Google Account. Cancelling doesn’t remove user accounts, groups or your organizational structure. Deleting the account frees your domain within 24 hours and deletes all user accounts, groups and organizational units, which can’t be restored. If you bought your domain while signing up for Workspace, transfer its management to Squarespace before deleting, or you lose access to it.

If the cause is an unpaid bill rather than a deliberate cancellation, a different clock runs: 30 days of failed monthly payment leads to suspension, and a subscription suspended for more than 60 days might be cancelled. While suspended, the Data Export tool excludes core service data.

What happens after you cancel

Services. You lose access to core services such as Gmail, Calendar and Meet. If you have Cloud Identity, Drive, Docs, Sheets, Slides and Keep stay available, but admin controls such as audits, reporting, sharing policies and alerts are removed, and shared drives become view-only.

Billing. On the Flexible Plan, cancelling immediately stops new charges. Google’s example: cancel on the 15th and you are billed for half a month. On an Annual/Fixed-Term Plan, you are charged for the remaining balance of the contract. Outstanding charges are billed at the start of the next month.

Data. Google’s cancellation page says that after you cancel, your users’ Workspace data “will be deleted and can’t be restored.” If you keep the organization’s account and resubscribe within 51 days, Google says user accounts, groups and organizational units will still be available. It does not say that deleted mail or files return. Treat cancellation as the point of no return.

Email-verified subscriptions get a choice during cancellation. “Let users keep their data and delete my organization’s account” turns users into unmanaged consumer accounts that keep their My Drive data, deletes shared drives, groups and billing records, and means the organization waives any rights to own and manage the data. “Delete users’ data” removes My Drive and shared drive data, a process that can take up to 90 days. Neither option gives the company a copy. The export does.

Mistakes that lose data

If the company is closing, the Workspace export is one item on a longer list. Our guide to what to do with company data when shutting down applies the same export-first rule to Slack, Microsoft 365, Jira and Confluence, and code repositories.

Your exported archive may have licensing value

The archive you just downloaded holds years of email, chat, documents and calendars. Some AI data companies, brokers and marketplaces pay companies to license that kind of internal operating data. Our buyers index lists who they are, with the payout model, the price range as published by the company, seller fees, minimum company size and how each one takes in data, with a source for every figure.

Three things to know before you talk to anyone:

  1. Export first, decide later. Nothing can be licensed once Google has deleted it, and Google’s own copy of the export is deleted 60 days after the export starts. The copy you keep is the one that keeps the option open.
  2. How the data reaches a buyer matters. Google’s Workspace API User Data and Developer Policy bars apps from using, transferring or selling data from Workspace APIs to create, train or improve any machine learning or AI model beyond that specific user’s personalized model, and Google’s verification guidance says the restriction covers data that is aggregated, anonymized or derived. That is one reason the index records each buyer’s ingestion method, owner export or connector. Ask any buyer in writing how they ingest Google data, and have counsel review your Google agreement, customer contracts, data processing agreements and employee notices. Our offer checklist lists the questions.
  3. Some data needs extra care. Employee email or chat from staff based in the EU, UK or Canada, and client data from law, accounting, tax or health firms, usually need consent or anonymization before anyone can license them.

Frequently asked questions

Can I export Google Workspace data after I cancel?

Not from the core services. Google’s Data Export tool needs an active subscription to export Gmail, Drive and Chat data, and excludes that data if the subscription is canceled or suspended. Run and download the export first.

How long does a Google Workspace data export take?

Google says the export is available no earlier than 48 hours after you start it. It typically takes 72 hours but can take up to 14 days, depending on the size of the export. Plan for the full 14 days, plus time to fix errors and download the archive, before you cancel.

How long can I download the export?

If you use the Google-provided Cloud Storage bucket, Google deletes the exported data 60 days from the beginning of the export. Large exports are written in packets over several days, so Google tells you to subtract the number of days the export took from 60 to find your real deadline.

Is Google Takeout enough to back up a company account?

Takeout downloads one user’s own account, and each user has to run it. The admin Data Export tool covers the whole organization and adds data only admins can reach, such as shared drives, chat rooms created by users, ownerless groups and Vault-retained data. For a company shutting down, Google points to the Data Export tool.

What happens to my data when I cancel Google Workspace?

You lose access to core services such as Gmail, Calendar and Meet, and Google says your users’ Workspace data will be deleted and can’t be restored. User accounts, groups and organizational units stay until you delete the organization’s Google Account. If you choose to delete users’ data on an email-verified subscription, deletion can take up to 90 days.

Can I resubscribe after cancelling?

If you keep the organization’s Google Account, Google says you can add a new subscription within 51 days of canceling, or after 84 days when the cancellation process finishes. Google says user accounts, groups and organizational units will still be available. It does not say deleted mail or files come back.

Can a Google Workspace export be licensed to AI companies?

Some companies pay to license internal archives such as email, chat and documents; our buyers index lists their published terms, payout models and fees. Check customer contracts, data processing agreements and employee notices first. Employee email or chat from staff based in the EU, UK or Canada, and client data from law, accounting, tax or health firms, usually need consent or anonymization first, and we flag them before any introduction.
